A team of Northwest Vista College employees recently presented several different presentations at the fourth annual District Student Success Summit on April 8 at Northeast Lakeview. The NVC Admissions & Records team did a presentation on Accountability of College Data in State Reports.
The purpose of this presentation was to share the importance of maintaining data integrity, knowing your role in the state reporting data, providing NVC's best practices for state reporting, and collaborating with the district on reporting data. The presenters were: Cindy Zamudio, NVC associate director of Admissions & Records (former NVC State Reporter), Yvonne Guerra, NVC associate director of Admissions & Records; and Kimberly Sanders, district director of Enterprise Reporting. Cindy said that colleges and universities which are certified by the commissioner of Higher Education are required to submit numerous reports to the Texas Higher Coordinating Board (THECB). These reports are used to calculate the appropriations for each college.

“At Northwest Vista College, we recognize that data integrity is everyone’s responsibility,” Cindy said. “The foundation of our reports starts with the course schedule. To ensure this data is correct, our vice president for Academics, chairs, schedulers and faculty go through a pretty intense schedule validation process.”
Critical data like contact hours, credit hours, faculty assignments and much more needs to be validated to ensure NVC can maximize funding, added Cindy. Since NVC can only report students which have paid tuition by the census date, it is crucial to process these items in a timely manner.
When corrections have to be made for example, NVC’s chairs and faculty partner with the NVC Admissions and Records teams and work closely in processing adds, drops and grade changes to meet crucial timelines and to provide detail to Alamo Colleges' state reporter, Roger Gardner, to keep NVC’s reports as accurate as possible.
